Purchase orders

last updated: 2026-09-26

Create an order from a recommendation, send it, track it and receive it into Shopify stock — and what each status means.

A purchase order records what you are buying from a supplier. The app does not send it for you: you download it, send it yourself, and record each step here. In exchange, the forecast knows what is on its way and stops asking for it, and receiving updates your stock in Shopify.

The statuses

Status What it means Counts as incoming?
Draft Being prepared. Changes nothing. No
Sent You sent it to the supplier. Yes
In transit The supplier shipped it. Yes
Partly arrived Some units arrived, others are still pending. The pending ones
Arrived Everything was received. No, it is in stock
Cancelled It is not coming. Kept as a record. No

An order is late when its expected arrival date has passed and it has not fully arrived. It shows in the Late tile on the dashboard and as Was due [date].

Creating an order

Three ways:

  • From the dashboard — click the supplier on a Recommended row. The draft starts with the quantities the forecast suggests.
  • From Purchase orders — Create purchase order and choose a supplier. It also starts with what the forecast suggests; if nothing needs ordering, you get an empty draft to fill in.
  • From a product's page — Add to purchase order adds it to its supplier's open draft, or creates one.

Each supplier has at most one open draft at a time, so everything you plan to buy from them ends up on the same order.

Products the forecast has no quantity for (no history, dead stock) are left out of the draft. You can add them by hand with Add products.

Editing a draft

  • Edit quantity or Remove line from each line's menu. Quantities round up to the supplier's case pack and minimum.
  • Add products — any product assigned to that supplier.
  • Note to supplier — printed on the PDF under the lines.
  • Change destination — the location the goods will be received into. The default is set in Settings.

Line costs use the supplier's price for that product if you set one, otherwise the product's cost in Shopify.

Sending it

  1. Download it with Download PDF (or Download CSV).
  2. Send it to your supplier by email or however you usually do.
  3. Click Mark as sent and set Day you sent it.

From that moment its units count as incoming and the dashboard stops suggesting them. The expected arrival is the day you sent it plus the supplier's lead time.

The app does not email your supplier. Marking as sent only records that you did.

While it is on its way

Add shipping details to record what the supplier's paperwork says: shipped date, expected arrival, carrier, tracking number, invoice number and date, shipping, and taxes and duties. All fields are optional and nothing is sent to anyone. Adding a shipped date moves the order to In transit.

Receiving it

Click Record what arrived, set the arrival date, and check each line:

  • Every line starts at the full quantity ordered. Only change the ones that came short.
  • Each number is the total received for that line, not what to add to it.

The units are added to your stock in Shopify at the order's destination. If everything arrived, the order becomes Arrived; if not, Partly arrived, and the missing units still count as incoming. You can record more deliveries later.

Products whose stock Shopify does not track are recorded on the order but not added in Shopify. The screen tells you which.

Every order that fully arrives teaches the app how long that supplier really takes. See Suppliers and lead times.

Cancelling and deleting

  • Cancel order — for sent orders that will not arrive. Its units stop counting as incoming, so the dashboard will suggest them again. The order stays as a record.
  • Delete order — only for drafts and cancelled orders. It is removed permanently.

Sent and arrived orders cannot be deleted: they are what the app measures lead times from.
